Built primarily around the operational requirements of Swiss educational institutions, Schulpilot combines administrative management, teacher workflows, participant access, financial processes, and reporting in a single platform.
The challenge — bringing an entire school operation into one platform
School administration involves far more than managing students and courses.
Every participant has personal information, documents, course history, attendance records, invoices, payments, and administrative actions attached to them. At the same time, schools need to coordinate teachers, classrooms, schedules, course capacity, semester changes, financial processes, and internal follow-ups.
When these processes are distributed across spreadsheets, folders, email, calendars, and separate financial tools, administrative complexity grows quickly.
The challenge with Schulpilot was to create a platform capable of connecting these processes without making the system itself difficult to operate.
The platform needed to provide administrators with complete oversight while giving teachers and participants access only to the information and functionality relevant to them. Financial workflows had to reflect Swiss requirements, attendance had to connect directly to courses and participants, and administrative tasks needed to be generated from actual activity inside the system.

Schulpilot provides administrators with a central environment for managing the entire operational structure of a school.
Participant profiles bring personal information, documents, course assignments, attendance history, financial information, and administrative activity together in one digital record.
Instead of maintaining separate datasets for participants, courses, attendance, and payments, the platform connects these areas directly.
Administrators can manage participant registrations and statuses, organize courses and class assignments, maintain documentation, track administrative activity, and access the information required for daily operations from a single system.
This creates one consistent source of information across the organization and significantly reduces the manual coordination normally required between different administrative tools.
Course, Schedule & Attendance Management
Course management is integrated directly into the platform.
Administrators can organize courses, participants, teachers, schedules, rooms, and related operational information while maintaining visibility across the complete academic structure.
Attendance is connected directly to each course and participant. Teachers can record attendance through their own interface, while the administration receives a centralized view of attendance data and participation levels.
This allows the platform to identify cases that require attention without administrators manually reviewing individual attendance records.

Support for structured banking data such as camt.054 reduces the amount of manual reconciliation required when processing incoming payments.
The platform also supports structured reminder processes for overdue invoices, giving administrators visibility over outstanding payments and the actions already taken.
By connecting financial information with participant records, Schulpilot eliminates the separation between school administration and payment administration.
Teacher Portal
Teachers receive a dedicated interface focused specifically on their responsibilities.
